When a business grows past a handful of people, HR tends to live in scraps: offer letters in a folder, leave in a paper register or a chat group, and a spreadsheet of who joined when. Hiring means posting on social media and collecting CVs in an inbox you can never search properly.
Saauzi HRM puts employees, leave and hiring in one place. This guide covers departments, profiles, leave, the careers page and applicant stages, plus the limits to know before you choose it.
What HR software for a small business should cover
A small business doesn't need an enterprise HR suite. It needs clear answers to three questions:
- Who works here? Name, role, department, start date and who to call in an emergency.
- Who is off, and was it approved? Leave with a clear yes or no from a manager.
- Who are we hiring? Open roles, applicants and where each one stands.
Saauzi HRM answers those three. It is one of the apps in Saauzi, an all-in-one ERP, released on 12 September 2026 with Projects and CRM; our launch post on Projects, CRM, HRM and industries covers all three. For how the apps fit together, see our plain-English guide to ERP for small businesses.
Departments and employee profiles
Start with departments, such as Sales, Operations, Kitchen or Accounts, then add a profile for each person. A profile holds:
- Job title and department.
- Employment type: full-time, part-time, contract or intern.
- Join date, useful for probation reviews and work anniversaries.
- Emergency contact.
- Salary on record, as a reference.
- Status: active, on leave or left.
The profile replaces the folder and the spreadsheet: one record per person, easy to find when you need it.
Leave types and approvals
Leave management software earns its place by ending the "did anyone approve this?" conversation. In Saauzi HRM you first define leave types, each with a number of days per year and marked paid or unpaid. A hypothetical set might be:
- Annual leave: 18 days a year, paid.
- Sick leave: 12 days a year, paid.
- Unpaid leave: up to 10 days a year, unpaid.
Set yours to match your own policy and your country's labour rules. When someone needs time off, the leave request is recorded in HRM and a manager approves or rejects it. Everyone works from the same record instead of scrolling back through a chat group.
Hiring with a free careers page
Most small businesses hire through word of mouth and social posts, then lose track of who applied. Saauzi HRM gives you a public careers page. You create a job opening, it appears on the page, and candidates apply there. You share one link wherever you advertise: your website, social media, job groups.
If HRM is your first Saauzi app, it's free forever, careers page included. That makes it a practical free careers page for a small business that doesn't have a website with a jobs section.
Applicant stages
Every applicant moves through the same stages:
- Applied: the application has arrived.
- Screening: you're checking the basics, such as experience and availability.
- Interview: you're meeting them.
- Offer: you've made an offer.
- Hired or rejected: the outcome.
Moving people through the stages as you go shows how many candidates are at each step and who is still waiting for an answer.
A month with HRM: a worked example
Say you run a 12-person accounting firm with two departments, Audit and Tax. The figures are hypothetical.
- Week 1. You open a role for an audit associate and share the careers page link on social media and in a professional group.
- Week 2. 38 people apply. You move 10 to screening, and 4 of those to interview.
- Week 3. After interviews you move one candidate to offer and the other three to rejected. Meanwhile, three leave requests come in for the Dashain holidays. The manager approves two and rejects the third, which clashes with a client deadline.
- Week 4. The offer is accepted and the candidate is marked hired. You add their employee profile: Audit department, full-time, join date, emergency contact and salary on record. The rest of the applicants are marked rejected.
At month-end, one place shows who you hired and who was off, with no digging through old inboxes.
Who Saauzi HRM is for
HRM suits any business with a team to look after. For consulting and services firms, construction businesses and real estate agencies, Saauzi switches it on at sign-up together with Projects, CRM and Cashbook. Shops and restaurants can install it from the hub.
It pairs naturally with Saauzi Projects, where your team's tasks, hours and client invoices live, and Saauzi CRM, where new business comes in. Recruitment agencies can use the hiring stages for candidates they place, though HRM is built for hiring your own staff rather than as a full agency applicant-tracking system; the recruitment agency page explains how the apps fit.
What Saauzi HRM doesn't do
- No payroll or salary processing. Salary on record is a reference only. Payslips, tax deductions and salary payments stay with your payroll software or your accountant.
- No attendance or shift rostering. There is no clock-in or clock-out and no shift schedule for employees.
- No document management or e-signatures. Contracts and offer letters stay in your own files.
- No automations. Leave approvals and applicant stages are moved by people, not by rules.
If you need payroll and attendance in the same system as everything else, a broader suite may fit better. At the time of writing (September 2026), Odoo includes HR among its dozens of apps, and Zoho One covers 45+ apps including Zoho People; prices vary by country, plan and billing period. Our Saauzi vs Odoo comparison covers that trade-off honestly.
What it costs
Your first Saauzi app is free forever, and HRM can be that app. One flat subscription unlocks every app: NPR 1,500 per user per month or NPR 12,000 per user per year, or US$20 and US$200 internationally, with no commission on sales. Three users on yearly billing come to NPR 36,000 (US$600) a year. See the Saauzi pricing page.
FAQ
Does Saauzi HRM do payroll?
No. It keeps salary on record in each profile but does not process payroll or pay salaries. Use payroll software or your accountant for that.
Can I set up different leave types?
Yes. Each leave type has its own number of days per year and is marked paid or unpaid. A manager approves or rejects each request.
Is the careers page really free?
Yes, if HRM is your first Saauzi app, which is free forever. The careers page is part of HRM.
Can Saauzi HRM track attendance or shifts?
No. There is no attendance tracking or shift rostering.
If your team's records are spread across a folder, a register and an inbox, bring them into one place. Start with Saauzi HRM free, add your departments and people, and post your next opening on your own careers page.
