In most small businesses, the sales pipeline lives in someone's head, a WhatsApp chat and a spreadsheet nobody has updated since last month. Leads go cold because nobody called back, two people chase the same client, and "what will close this month?" gets a guess for an answer.
A CRM fixes that by putting every lead in one place with an owner and a next step. This guide explains how Saauzi CRM works, walks through a week in a hypothetical pipeline, and sets out plainly what it doesn't do.
What a simple CRM for a small business needs
Big CRMs can do almost anything, which is why they take weeks to set up. A small team needs a handful of things done well: one list of every lead, stages that match how you sell, a value on each deal, one owner per lead, and a record of every conversation with a dated next step.
Saauzi CRM is built around that list. It is one of the apps in Saauzi, an all-in-one ERP, released on 12 September 2026 with Projects and HRM, as our launch post on Projects, CRM, HRM and industries explains. For how the apps fit together, read our plain-English guide to ERP for small businesses.
Leads: the whole deal on one record
Each lead holds a contact and company, a source (where it came from, such as a referral, a walk-in or your website), a deal value, an owner and an expected close date. Noting the source every time lets you look back and see which channels bring real business. You can work from a leads list, handy for scanning everything at once, or a board view that lays leads out by stage.
Owners and expected close dates
Every lead has one owner. Others can help, but one person answers "what's happening with this deal?"
The expected close date is your best guess at when the client will decide. Use it in a weekly review: any open lead past its date needs a call or should be marked lost. A pipeline full of overdue deals looks healthy and isn't.
Stages: a sales pipeline that matches how you sell
A pipeline is the path a lead takes from first contact to a decision. In Saauzi CRM you manage the stages yourself, and they include won and lost, so every lead ends somewhere clear. A simple set for a services business might be: new, contacted, meeting held, proposal sent, then won or lost.
Keep stages few and tied to something that actually happened, such as "proposal sent", rather than a feeling like "warm". When a stage means the same thing to everyone, the board tells the truth, and that is most of what sales pipeline software does for a small team.
Activities: notes, calls, meetings and tasks
Everything that happens on a deal is logged on the lead:
- Notes for context: budget, decision-makers, objections.
- Calls and meetings, so every conversation is on record.
- Tasks with due dates for the next step, marked done when finished.
The habit that makes a CRM work: every open lead has a task with a due date. If it doesn't, nobody is moving it forward. When someone is away or leaves, the history lets a colleague pick up the deal without starting again.
A week in the pipeline: a worked example
Say you run a small interior design studio with two people selling. The figures are hypothetical.
- Monday. A referral brings in an office fit-out. You add the lead with the contact, company, source "referral", a deal value of NPR 850,000, yourself as owner and an expected close date at month-end. You log the first call and add a task: "Send mood board by Wednesday".
- Wednesday. You send the mood board, mark the task done, log a site meeting and move the lead to "meeting held", with a new task to send the proposal by Friday.
- Friday. The proposal goes out and the lead moves to "proposal sent". In the weekly review, three of your nine open leads are past their expected close date. Two get a follow-up call added as a task; the third went with another studio, so you mark it lost with a note on why.
Two weeks later the fit-out is won, and you set up the job in Saauzi Projects, with timesheets and client invoicing, on the same platform.
Who Saauzi CRM is for
CRM suits agencies and consultancies pitching projects and retainers, recruitment agencies tracking client companies and deals, construction and interior design businesses chasing jobs, suppliers selling to other businesses, and real estate agencies working with buyers, sellers and deals (see how the apps fit a real estate agency). For services, construction and real estate industries, Saauzi switches on CRM with Projects, HRM and Cashbook at sign-up; others can install it from the hub. When the team grows, Saauzi HRM for employees, leave and hiring keeps your people in the same place.
What Saauzi CRM doesn't do
- No email or calendar sync. Emails aren't logged automatically and meetings don't appear in your calendar; you log them on the lead.
- No automation. Leads don't change stage, get assigned or trigger follow-ups on their own.
- No marketing campaigns. No email or SMS campaigns and no bulk messages.
- No integrations with other software.
If you run a large sales team that lives in email, needs automated sequences or sends campaigns, a bigger CRM is the better choice. At the time of writing (September 2026), Zoho One, for example, covers 45+ apps including a CRM; prices vary by country, plan and billing period. Our Saauzi vs Zoho comparison looks at where each fits. If you need a clear pipeline your team will actually keep up to date, simple is an advantage.
What it costs
Your first Saauzi app is free forever, and CRM can be that app. One flat subscription unlocks every app: NPR 1,500 per user per month or NPR 12,000 per user per year, or US$20 and US$200 internationally, with no commission on sales. Three users on monthly billing come to NPR 4,500 (US$60) a month. See the Saauzi pricing page.
FAQ
What is the difference between a CRM and a contact list?
A contact list tells you who someone is. A CRM tells you where the deal stands, what it's worth, who owns it, what happened last and what happens next.
Can I change the pipeline stages?
Yes. You manage the stages yourself, and the pipeline includes won and lost so every lead reaches a clear outcome.
Does Saauzi CRM sync with my email or calendar?
No. You log calls, meetings, notes and tasks on each lead yourself.
Is Saauzi CRM free?
If it's your first Saauzi app, yes, free forever. The flat subscription covers every other app when you add more.
If your pipeline is scattered across phones and spreadsheets, give it one home. Start with Saauzi CRM free, add this week's leads, and give each one an owner and a next step.
